Does Jobber or Housecall Pro end double entry with QuickBooks? What syncs, and what you still type

From each vendor’s own help pages as of September 25, 2026, with a check you can run on last week’s invoices.

We read each vendor’s help pages on September 25, 2026. The quoted words are theirs. Settings change, so check yours against the pages in the sources.

What Jobber sends to QuickBooks Online

Jobber’s help page says the pair keeps your customer, invoice and payment records accurate “without any double-entry.” Its list of what syncs: clients, products and services, invoices, payments (tips, refunds and Jobber Payments payouts included) and timesheets, which need QuickBooks Payroll.

The sync runs “one way, from Jobber to QuickBooks.” Your sync settings pick the moment: an invoice when it is created or when it is sent, a payment when it is collected, a timesheet when you approve it. Quotes are not on the list.

The same pages list what still takes a person:

  • “Paid” status no longer syncs back from QuickBooks. Record every payment in Jobber, or the invoice stays unpaid there.
  • An invoice or a product that has synced “must be deleted from both Jobber and QuickBooks.” A phone number, email address or shipping address you delete from a client in Jobber stays in QuickBooks until someone deletes it there too.
  • A one-off line item, one that is not in your products and services list, arrives as “Custom Service”, with its name moved into the description.
  • Edit clients and products in Jobber, the “source of truth” for them. An edit made in QuickBooks can be overwritten.

What to look for in QuickBooks: a one-off line from Jobber, one that is not in your products and services list, arrives as Custom Service, with its name moved into the description.

All of that is Jobber’s new integration, which it says is “gradually being rolled out to select accounts.” A first-time connection uses it. If you still click Sync to QuickBooks, you are on the legacy one.

There, clients and products sync both ways, and an invoice syncs once: edit it after it synced, and you “will need to do so in both programs.” A legacy account can move to the new integration, but Jobber warns that “you are unable to return to the old integration.”

Jobber offers the integration on “select plans”. Its pricing page, linked below, shows which.

What Housecall Pro sends to QuickBooks Online

Housecall Pro says its sync “typically functions one-way.” It sends invoices, payments (service plan payments included), new customers and new price book items. A job goes over when it is marked finished (if you chose that setting), when its invoice is sent or when it is marked paid. It reaches QuickBooks within 2 to 5 minutes.

Housecall Pro sends a job to QuickBooks Online when it is marked finished (if you chose that setting), when its invoice is sent or when it is marked paid. A printed invoice does not go over: send it or push it.

What it leaves, from the same page:

  • “Estimates do not push over to QuickBooks Online.”
  • Changes to an invoice after its first sync, such as line items, quantities, prices or descriptions, do not follow on their own. They go over the next time the invoice is sent, marked paid or pushed by hand.
  • An invoice deleted or canceled in Housecall Pro has to be deleted or canceled in QuickBooks by hand.
  • Housecall Pro notes that “printing an invoice does not automatically push the invoice to QuickBooks.” Send it or push it.
  • A price book item edited in QuickBooks has to be edited in Housecall Pro too.
  • Jobs finished, sent or paid before you connected the two need a manual push.

A payment typed into QuickBooks instead of Housecall Pro can be pulled back, by hand. As with Jobber, the sync comes with some Housecall Pro plans and not others; its pricing page shows which.

Supplier bills are on neither tool’s sync list. A supply-house bill still goes into QuickBooks by hand, or through QuickBooks’ own receipt email, and a person matches it to its job.

If your books are in QuickBooks Desktop

“Jobber does not sync to QuickBooks Desktop.” Your Desktop clients can be imported into Jobber from a CSV file, but “this is a manual import and is not an ongoing sync.” After that, an invoice or a payment reaches Desktop only if someone types or imports it.

With QuickBooks Desktop, Jobber does not sync at all, and Housecall Pro syncs one way, through the QuickBooks Web Connector.

Housecall Pro syncs to Desktop one way, through the QuickBooks Web Connector, by hand or on a timer. For the timer, it suggests every 60 minutes. If Desktop runs in multi-user mode, it recommends syncing by hand, because with the timer on in that mode Desktop “is prone to data loss.”

Payments land in Undeposited Funds. Card payments are reconciled by hand, with a journal entry for the processing fees. Inventory items and multiple tax codes are not supported.

On jobs imported into Housecall Pro rather than created there, payments and changes “will need to be added to QuickBooks Desktop manually.” And if you skipped the customer import at setup, a customer whose name is not exactly the same in both becomes a duplicate in Desktop.

Check your own sync

  1. Step 1 of 4

Write down which QuickBooks you run, Online or Desktop. In Jobber, note whether you still click a sync button.

  2. Step 2 of 4

Open 5 invoices you sent last week in Jobber or Housecall Pro. Find each one in QuickBooks and compare the total, the line items and whether it shows paid.

  3. Step 3 of 4

In QuickBooks, look for “Custom Service” lines if you run Jobber, or for invoices whose job was canceled if you run Housecall Pro.

  4. Step 4 of 4

Ask whoever keeps the books what they type that Jobber or Housecall Pro already holds: payments, corrections, deleted invoices, quotes.

Each mismatch is a record someone has to type twice, or one that stays wrong in one of the two.

What the retyping costs

Time it for one week. Each time someone types what the other tool already has, write down the minutes. Add them up and divide by the days worked. Then:

Minutes a day × workdays a month ÷ 60 × hourly rate = what the retyping costs a month

For the rate, use what you pay whoever does the typing. As a yardstick, in the Gainesville metro area bookkeeping clerks earn a median of $23.01 an hour and a mean of $24.71, and general office clerks a median of $21.61 (US Bureau of Labor Statistics, May 2025, government data). That is the local going rate, not what you pay.

If the typing is yours, at night, count it in dollars only if it takes time you would otherwise bill. If it does not, leave the dollars out: those are hours, not dollars.

Example numbers, not a real shop: 30 minutes a day, 22 workdays a month, at the local median for bookkeeping clerks.

  • 30 minutes × 22 days = 660 minutes
  • 660 ÷ 60 = 11 hours a month
  • 11 hours × $23.01 = $253 a month
  • 11 hours × 12 = 132 hours a year

Your minutes will be different, and the result is a rough figure, not a promise. Our sample walk sheet prices this same line, with sample numbers for a 2-truck plumbing shop and the formula on the row.

Our AC and heating page prices it too, for a sample shop that types each job into the job app, QuickBooks and the permit portal.

Where to start

Run the check on last week’s invoices. Then time the retyping for a week and put the minutes, your workdays and your rate into the retyping line of our loss calculator. It runs on your phone or computer and sends us nothing.

Questions and answers

Does Jobber sync with QuickBooks Online?

Yes, one way, from Jobber to QuickBooks. Clients, products and services, invoices, payments and approved timesheets go over on their own. “Paid” status does not come back, quotes are not on the list and a synced invoice you delete has to be deleted in both. Jobber offers the integration on select plans and, in the US, supports QuickBooks Online Simple Start, Essentials, Plus and Advanced. As of September 25, 2026.

Does Jobber integrate with QuickBooks Desktop?

No. Jobber’s help page says “Jobber does not sync to QuickBooks Desktop” and that its integration is only with QuickBooks Online. Your Desktop clients can be imported into Jobber from a CSV file, which Jobber calls a manual import, not an ongoing sync.

Does Housecall Pro sync with QuickBooks Online both ways?

It “typically functions one-way”, from Housecall Pro to QuickBooks: invoices, payments, new customers and new price book items. Estimates do not go over, and an invoice edited after its first sync is not updated until it is sent, marked paid or pushed again. Two things can come back: your QuickBooks data at setup, and a payment entered in QuickBooks, if you pull it by hand.

Does Housecall Pro work with QuickBooks Desktop?

Yes, one way, through the QuickBooks Web Connector, by hand or on a timer. Payments land in Undeposited Funds, card fees need a journal entry, and payments or changes on jobs imported into Housecall Pro rather than created there have to be added to Desktop by hand.

How do I work out what the retyping costs me?

Minutes a day × workdays a month ÷ 60 × hourly rate. With example numbers, 30 minutes × 22 days = 660 minutes, or 11 hours, and 11 × $23.01 is $253 a month. $23.01 is the median hourly wage for bookkeeping clerks in the Gainesville metro area (US Bureau of Labor Statistics, May 2025), the local going rate, not what you pay. Use your own rate when you know it.
