- Quotes that went coldYour quote list, sorted by status.
- Typing the same job twiceA stopwatch on one ordinary day.
- Calls nobody called backYour phone's call history, on the Missed tab, or your business line's online account. How to get 30 days of call history
How we count
- Typing the same job twice. Minutes a day × workdays ÷ 60 × the hourly cost. With no hourly cost it stays as hours, out of the total.
- Jobs never billed. The count for 3 months ÷ 3 × your average invoice. The whole invoice, because the parts and the hours are already spent.
- Quotes that went cold. Quotes a month × the profit on a quoted job.
- Calls nobody called back. (New numbers that rang out − the ones you called back) × 52 weeks ÷ 12 months × the share that would have booked × the profit on a job. Our article shows how to count it from a month of call history.
The total adds the lines you filled in, rounded to the nearest ten dollars.
What this leaves out
- Supplier bills that don't match what you ordered.
- Supply-house tickets with no job number.
- Reading emails and filing the attachments by hand.
- Reminding your team and customers, one at a time.
- Keeping every calendar up to date by hand.
- Adding up the month-end numbers.

Where the example numbers come from
- 24%: what trade shops with fewer than 5 technicians booked in a study of more than 3,000 trade businesses in the US and Canada; all of them booked 42% (ServiceTitan blog, 2022, vendor data).
- $150 profit on a job: $341, HomeAdvisor's national average plumber visit (2026), × 44.3%, Level's median job gross margin (vendor data), rounded.
- 2 hours a day: 500 US professionals averaged more than 9 hours a week moving data by hand (Parseur survey, July 2025, vendor data).
- The other examples are round numbers, not data.
