What we automate in a restoration company

Most fixes land in what you already use: Excel, QuickBooks, your job app or a tool we build.

  • Older homes flagged from the county's year-built record, for lead paint and asbestos checks.
  • Moisture readings due today, by job, with a flag when yesterday's were missed.
  • Mold jobs held for the outside assessor's protocol, with clearance by that assessor, never your crew.
  • Every tech's photos, dry logs and signed forms in one folder per job, found by claim number.
  • Insurance checks matched to the job and claim, two-payee checks at the lender included.
  • Subcontractor insurance certificates read for their expiry dates, with a warning before one lapses.

On the walk, we find which of these your company has. See the full list for water damage and mold

For shops the owner runs, with one person in the office or none.

What you keep Keep DASH, Albi or whatever runs your jobs. We work on everything around it.

How it works

You can stop after any of them.

  1. Today

    Free

A free call, by phone. You tell us where the week goes. We tell you plainly whether a walk would pay for itself.

  2. The walk

    Paid

A visit to your business, and a look at your records.

The walk starts at $500. Bigger businesses get a quote on the free call. Start a fix of $1,500 or more within 30 days and the walk fee comes off its price.

Not worth it to you? Text or email us within 7 days of the call where you go over your sheet, and you get the walk fee back.

  3. Your sheet

Every problem in dollars, usually within a week of getting your records. You keep it either way.

  4. Then, only if you want

    Paid

One fix, priced before work starts, and a monthly check you can cancel any month.

The check waits on a dry log and a signature.

Claim 0026-1093-3H. Two weeks after the file went out, the adjuster asks for the dry log and the signed certificate of completion. One is on Luis's phone, the other in the truck. The carrier's $1,709.90 waits. Florida gives the insurer 60 days from notice to pay or deny (F.S. 627.70131), and this file is already 21 days into them.

The fix: each file checked before it goes out against what adjusters ask for, and anything missing sent to you while the tech has it. Your office sends the file. Nothing goes to the insurer from us, and we never talk coverage.

Gadwall Mold & Water loses $1,987 a month. Here's where.

A 2-crew company. Each stop shows the same screen before and after the fix, and the walk ends on the sheet's total.

  1. 1

    Stop 1: The invoice draft

Drying days left off the invoice

DH-01 ran 6 days, and the readings show day 5 still wet. The invoice says 5.Billed for 6 days, as the equipment log shows.

LostWon back $1,026 a monthFrom the example company's equipment log beside its invoices: 6 jobs a month billed one drying day fewer than the log shows.

  2. 2

    Stop 2: The claims sheet

    Deductibles never billed

The carrier paid Oct 2. The homeowner's deductible is still not billed. The 1,000.00 deductible is drafted for your OK.

LostWon back $700 a monthFrom the example company's job files: 14 insured jobs a month; 1 in 20 is an example rate. An unbilled deductible can look waived, and Florida bars waiving one to defraud or deceive (F.S. 817.234(7)(d)).

  3. 3

    Stop 3: The job spreadsheet

The claim typed into the job file, Xactimate and QuickBooks

One claim number, typed three times. The third has two digits swapped.Read once from the insurer's PDF. The claim number matches everywhere.

LostWon back $261 a monthFrom the example company's job files: 14 claims a month, each typed into the job file, Xactimate and QuickBooks, about 40 minutes a claim.

Summer AC drain pans and storm weeks swing the calls. Your sheet works from your own records.

Lost before any fix $1,987 a month

Time back for the example company: about 9 hours a month.

Night jobs billed at the after-hours rate, with day one on the equipment log.

If you take night jobs, the line forwards to whoever is on call that week, with a card in English and Spanish. By morning the estimate has the after-hours call-out and the claim number is on your list.

Before Night calls land on your cell, and the after-hours call-out never makes the estimate.

  2. Shop line forwards to Luis, on call.
  3. Water through the hall ceiling at 139 Oak St, from the AC drain pan in the attic. Luis goes through the card with the homeowner.
  4. Crew on site. Work authorization signed; 1 dehumidifier and 3 air movers scanned in.
  5. Thursday, Oct 8
  6. Job 26-0178: after-hours call-out on its estimate for your OK, and day one on the equipment log.
  7. No claim number yet: ask the homeowner.

On-call cardSpanish on the back

Gas smell: everyone out, then 911. Sparks, smoke or a medical emergency: call 911 first. Water near outlets or the panel: stay out of it, and turn the breaker off only from a dry spot.

Water coming in now: shut the main valve, or the AC off at the thermostat if it's the drain pan, and stay out from under a sagging ceiling. Get the address and the owner's name.

Let's talk shop.

Tell us what eats your week. If a walk wouldn't pay for itself, we'll say so on the call.

Who walks your business

Most owners I meet lose their evenings to the same few jobs: the quote typed up at night, the invoice that never went out, the call nobody got back to.

Before Lumora I did the paperwork at a water damage company, and I automated most of it. Now Lumora walks businesses around Gainesville and does the same.

I speak English and Spanish, so your office can work in either.
